Supporting a Vaccine Trial Ramp-Up Across Seven Locations

When a nationwide clinical research network needed to prepare for upcoming vaccine studies, its talent acquisition team faced a tight timeline and competing priorities. The organization needed contract professionals across seven locations to support studies beginning in September, with assignments expected to continue through the end of the year.

Medix Life Sciences helped the network fill 11 positions across clinical and administrative functions, taking on initial candidate screening and helping the organization build the staffing capacity needed to support patient enrollment.

About the Client

  • Fully integrated, nationwide clinical research network
  • Conducts studies across multiple therapeutic areas, including vaccine trials
  • Operates research sites across the U.S., with staffing support needed across seven locations

The Challenge

In early August, the fully integrated clinical research network approached Medix with approximately 12 openings tied to upcoming vaccine studies. With patient enrollment expected to begin in early September, the organization had a short window to identify candidates, conduct interviews, and get professionals started.

The staffing needs spanned several functions, including vaccine administration, clinical research coordination, medical assisting, and data entry. Each role supported a different part of study execution, requiring a recruiting approach that could address multiple skill sets across geographically dispersed locations.

The network also needed flexibility. These were temporary study assignments, so the organization wanted contract support aligned with the anticipated project duration.

Meanwhile, its internal talent acquisition contact was managing multiple permanent openings. Adding the study-related positions to that workload would create additional pressure on an already busy recruiting function.

The organization needed a partner that could take ownership of candidate sourcing and initial screening while keeping site managers involved in hiring decisions.

The Solution

Medix worked with the network to recruit contract professionals for its vaccine study needs across seven locations.

The team supported hiring for:

  • Clinical Research Coordinators
  • Medical Assistants
  • Professionals responsible for administering study vaccines
  • Data scribes supporting study-related data entry

To reduce the internal recruiting workload, Medix took responsibility for the initial candidate screening process. Rather than requiring the talent acquisition contact to conduct a first interview with every candidate, Medix screened candidates before presenting them for consideration.

The client’s talent acquisition contact remained involved in reviewing candidates and coordinating interviews with regional managers. This approach allowed the organization to maintain oversight of hiring decisions while relying on Medix for the recruiting work leading up to those interviews.

Contract staffing also aligned the additional workforce with the expected study timeline, giving the network access to temporary support without adding permanent positions for a short-term need.

The Results

By the October project discussion, Medix filled 11 positions supporting the network’s vaccine studies.

  • Enhanced Patient Enrollment Capacity: Placements provided essential capacity for patient-facing activities, clinical research coordination, and data entry—directly supporting site enrollment goals.
  • Reduced Talent Acquisition Workload: Offloading top-of-funnel screening allowed the internal recruiting contact to focus on critical permanent hires without stalling trial readiness.
  • Flexible Project Alignment: Assignments were seamlessly structured around study timelines, concluding as individual research sites met their required patient enrollment counts.

Staffing Support Aligned With Study Demand

For this clinical research network, the immediate need extended beyond filling individual openings—it required coordinating several types of talent across multiple locations within a limited preparation window.

By combining contract recruiting with initial candidate screening, Medix helped the organization add study support while reducing the demands on its internal recruiting team. The engagement illustrates how clinical research networks can use flexible staffing to respond to project needs as studies begin, progress, and reach enrollment milestones.
